Company database as an Excel or CSV file

Updated 2026-08-30 · 5 min read

Most teams use two formats: Excel for review and CSV for importing into a CRM or email tool. Every Kontabase purchase includes both.

The time sink is the import, not the download. This checklist prevents the usual mistakes.

File structure

One company per row, one field per column. Several emails in one cell breaks almost every import tool.

  • Registry code is the unique key — use it to de-duplicate
  • Keep UTF-8 encoding so Estonian characters survive
  • Never format registry codes or phone numbers as numbers — Excel drops leading zeros
  • Leave empty contact fields empty instead of using placeholders

Importing into a CRM or email tool

Import 50 rows as a test, verify column mapping, then load the full file.

Frequently Asked Questions

Which formats are included?
Every purchase includes both XLSX and CSV.
Will special characters survive?
Yes, files are UTF-8. If Excel shows odd characters, open the CSV through the import dialog and choose UTF-8.
How large can a file be?
Large exports are split so they open in Excel and import cleanly.
